How can we help?
Answers to common questions. Can't find yours? Contact us and we reply within one working day.
What do I need to set up my account?
Your business name, address and email. Add your logo, bank details and VAT number when you are ready; the app highlights anything still missing before you send your first invoice.
How do I add my services and prices?
Go to Price list, choose Add item, then enter a code (for example SL001), a description, a price and a VAT rate. The code prints at the start of the line on quotes and invoices.
How are invoice numbers set?
We number invoices in order, by your financial year, for example INV/2026-27/0042. You can set the next number if you are moving from another system.
When does my financial year end?
Enter your start date and we set the end date 12 months later. A year starting 28 October ends on 27 October.
How does my client accept a quote?
They click the link in your email, read the quote and terms, then type or draw their name to sign. You get an email, and the quote changes to Accepted.
Can I invoice part of a quote?
Yes. Choose Convert to invoice, then pick a deposit, a percentage or chosen lines. The quote shows how much is left to invoice.
How do disbursements work?
Mark a price list item as a disbursement. It is shown separately on the invoice and you choose whether VAT applies.
Can I send invoices from my own email address?
Invoices come from mail@invoiceuniverse.com with your business name as the sender and your email as the reply-to address, so replies come straight to you.
How do clients pay by card or PayPal?
Connect your own Stripe or PayPal account, or a provider used in your country such as GoCardless, Square, SumUp, Mollie, Razorpay, Paystack or Mercado Pago, in Settings, then Online payments. Every invoice gets a Pay now button. Paid invoices mark themselves paid and a receipt can go out automatically.
Can receipts go out automatically?
Yes. In Settings, then Online payments, choose Send a receipt automatically, Ask me first, or Don't send receipts.
How do I set up a recurring invoice?
Open or create an invoice and turn on Repeat this invoice. Choose how often, when to start and stop, and whether each one is sent automatically or saved as a draft for you to check.
Can I change an invoice or quote after sending it?
Yes. Choose Amend. The earlier version is kept, and you can view or download every version (draft, issued, revised, signed) from the Versions panel.
How do I import my old invoices?
Invoices, then Import. Download the Excel template, fill it in and upload it, or choose the option for an export from your previous system. The file must match the template exactly; if any row is wrong nothing is imported and we show you what to fix. Invoices already in your account are ignored.
I imported the wrong file. Can I undo it?
Yes. A restore point is saved before every import. Open Import again, or Settings, then Data and privacy, and restore the point you want.
Can Invoice Universe staff see my data?
No. Your data is confidential to your company. Only you and the people you add can see it. If our support team needs to look to help you, we ask by email first; access is read-only, time-limited and logged for you to see.
Can it prepare my VAT return?
Yes. Set your VAT scheme, stagger and invoice or cash basis, and the 9 boxes are worked out from your invoices and costs. Download the VAT pack for your accountant or your Making Tax Digital software. Always check the figures before you submit.
Can I upload my bank statement?
Yes. Costs, then Bank statement. Upload a CSV, Excel or PDF statement; each line is matched to an invoice, a bill or a new cost, and you tick the ones you agree with.
What can the AI assistant do?
Answer questions such as who owes you money or what your VAT is this quarter, and draft quotes and invoices from a sentence. It never sends anything; you check the draft and send it yourself.
How do I get help?
Open Help and guides in the app for FAQs and short videos, ask the assistant, send us a message from Support, or chat with us on WhatsApp.
Can I save PDFs to my own drive?
Yes. Settings, then Document storage. Connect your computer, OneDrive, SharePoint, Google Drive, Dropbox, Box, iCloud Drive (in the Apple apps), pCloud, Amazon S3 or Nextcloud, and every issued or revised PDF is saved there automatically.
Which languages and currencies are there?
Quotes and invoices can be in 40 languages, set per client. Add any currency in Settings, then Defaults.
Is there an app for my phone?
Yes. On iPhone open the app in Safari and choose Share, then Add to Home Screen. On Android choose Install app in Chrome. App Store and Google Play versions use the same account.
How do I record a bank transfer?
Open the invoice and choose Record payment. Enter the date and amount. Part-payments are fine; the balance updates and overpayments are flagged.
When do reminders go out?
By default 3 days before the due date, on the due date and 7 days after. Change the timing and wording in Settings, then Reminders.
How do I export my data?
Every list has Export (Excel or CSV). Accountant export gives files for your accounting software, and Settings, then Data and privacy, downloads an encrypted full backup.
Is my data backed up?
Yes, every night, encrypted, and kept for 30 days. You should still keep your own copies: download a backup regularly and connect a drive for your PDFs. Businesses must keep their records (in the UK, usually for 6 years).
